Undocumented Ninox Functions

As the Global Ninox Community continues its deep dive into the newest Ninox – Beta v3.3.0 – I can’t help but think about how far Ninox has come. My first version was 1.0. Back then, almost a decade ago, tech support consisted of Alex giving you his cell phone number, Nioxus was a word that hadn’t been invented yet, and many of the Ninox features that we today take for granted still hadn’t made it to even the idea stage.

Today, 3.3.0 represents a new level of excellence for a product that remains unique in a crowded market of competitors. If you haven’t done it yet, take a little time and go to next.ninox.com and check out the incredible new ways to display the results of reference fields. Play around with the new number formatting options and marvel at the power of Bindings. And when you’re done, take a moment to sit back and marvel at how something as incredible as Ninox is about to get even incredible-er (Yes – I made up that word, but I like it so I’m sticking with it).

Next Thursday, as we did last Thursday, we will highlight some of the really cool aspects of the new version of Ninox during our weekly Ninox Learning Lab. I encourage you to join us for this fun and informative tour of all that Ninox can be.

We’re also very excited as we begin the new year with three product upgrades of our own – CalendarPLUS Version 3.6, DocumentsPLUS Version 2.0 and ReportsPLUS Version 2.1 along with our soon-to-be released newest Ninox enhancement tool – FormsPLUS. And in terms of education, we are hard at work preparing for our first-ever API training course – “Introduction to Ninox API Development” – to be held at noon Eastern Standard Time on Thursday March 18th. All this while we continue to release new templates, new YouTube videos and new learning labs every seven days.

I’m thrilled to welcome two of our newest members of the Ninox team – Chance Koogler and Michael Sidenstick – and I am more excited than ever about the future of Ninox, Nioxus and the clients we jointly serve all over the world.

2021 is going to be an amazing year and is already off to a blistering start. Ninox 3.3.0 and all the new NinoxPLUS products are just the start so stay tuned and hold on to your hats because VERY BIG THINGS ARE COMING YOUR WAY!

Undocumented Ninox Functions

You may have heard rumors about “secret” or undocumented Ninox functions and wondered what all the excitement was about. Let’s look at these in detail and get the full story.

The biggest revelation here is a function named “sleep”. Sleep pauses execution of code for a defined number of milliseconds. Use the sleep function like this:

							
					sleep(3000)				
			

This line will pause execution of code for 3,000 milliseconds, or 3 seconds. In actual practice, enter the number of milliseconds that works best for you. The sleep function is especially useful if you are executing code on the server. Server-side code runs so quickly you may need to pause it so local operations (like creation of a pdf document to be used as an attachment in an email) can catch up. Depending on your needs, you may benefit by experimenting to discover just how long the pause needs to be.

Also very useful are the “Created by” and “Modified by” functions. They allow you to see who created or last modified a record without that person needing to select their name from a list of users. Ninox knows who the logged in user is and can simply insert that instead of needing a user’s input.

To create this, insert a formula field onto the form and use this as the formula:

							
					'Created by'				
			

or

							
					'Modified by'				
			

Use this for any form where the user needs to fill in information about themselves such as a timecard, for example. There’s a gotcha on using any type of user information in forms, however, that you may want to watch out for. If the user is removed from the team after the information is filled in on a formula or a user type of field, the value will disappear.

This is because the source of the data – the user – is no longer a user. There are a couple of solutions for this. One I like to use is to put a line of code into the “Trigger onCreate” function of the table to automatically store the current user’s name in a noneditable text field when the record is created. This will store the creator’s name permanently regardless of whether the user is later dropped from the team. You will probaby want to make this noneditable text field invisible until it is needed.

To get a date and time stamp for when a record was created or last modified, you can use the functions “Created on” and “Modified on”.

The shortcut for these functions are the better-known equivalent functions _cd and _md. When you use the underscore equivalent functions, Ninox will replace them with their longer versions, like this:

These two functions store both the date and the time. To get only the date oronly the time, use a formula like the ones in the following examples to pull out just the information you need:

Configuring a Table in DocumentsPLUS

When Documents Plus is first installed and opened in a table you will be met with a message that says “It looks like you are in a table that has not been configured”. Configuring a table saves a few different pieces of information that the application needs. Click the “CONFIGURE TABLE” button to start entering this information.

Next, you will be asked to select which fields in the table you would like to save as profile items in the document management system. Profile items are pieces of information that are attached to files, folders, cabinets or drawers in Documents Plus.

For example, you could enter the customer name and email address as profile items to an invoice. If you upload a file from a particular record Documents Plus, the selected profile item fields will attach information to this document. Any information that you would like to attach to documents can be selected here.

You will also be asked to select a primary field. The primary field should be the most identifying field for records in the table. For example if you have a table of clients, the client name would make sense as the choice here. This field will be used as the folder name for the records if you chose to “sync” your table. Syncing a table is a functionality in Documents Plus that allows you to create a container for every record in a table inside its root node with one click. Each container (file or drawer) will be named according to the primary field you choose in this step.

After making your selection click “save” and Documents Plus will remember all of the information you entered. You can then start using the application in this table. Happy Filing!

Time flies when you are building Business solutions, so Nioxus is busy as ever..We strive to always grow and help others; speaking of – the learning lab last week was full of vibrant discussion and I think everyone learned something new, even Andy!
